Database cleanup! Please read!

Well people, I've encountered a bit of a problem. Lemme start from the beginning. The simplemachines people have finally released a stable version of their new forum software called "SMF". SMF is the next version of YaBBSE, which is the forum softwre we are currently using. I would like to eventually upgrade CSR's forums to SMF 1.0. In order to make sure that process goes smoothly, I'm trying to perform the upgrade using a copy of CSR's database on my own local machine. If I can successfully convert the current yabb database into a smf database *here*, then I can perform the upgrade on CSR with little or no risk of damage or data loss.

Anyway, the problem I'm encountering is that in its present state, our database contains data (in the form of extra users, tons of private messages, and some quirky characters like the British monetary symbol) which will not allow the backups I've made to be successfully restored. This is bad for two reasons. For one, it means that if CSR's DB were to die right NOW, the backups I have couldn't easily be integrated back onto RG's database server. That's the bigger problem. The smaller problem is that I can't test this forum upgrade without being able to replicate the complete forum database to work with.

Here's what I need.
  • I'm going to be cleaning out the user accounts again soon. Anybody who hasn't visited CSR in the past 60 days is getting their account canned. Please let anybody you are aware of that hasn't stopped by recently know about this.
  • Next, please delete any unnecessary private messages. I myself have kept every single one I've ever gotten to maintain an accurate record for myself. (That's 646 PMs right there!) If there are PMs you need to keep the information from, I suggest saving your PM page from your browser onto your computer. You might also want to remember your Outbox if you want a record of everything you've sent as well. The upshot is then you will have a permanent backup of all your old PMs regardless of whether CSR's database dies or not.
  • Hopefully I'll get around to cleaning out the clan forums soon. I'll be using the thread called  Cleaning clan forums? in the Suggestiosn board as a reference for which threads or boards should stay. Please give me any final comments about what should stay and what can go there.

My hope is that the combined effect of all these measures will minimize the flaws in the database backup to the point where I can weed the remaining few out by hand, and continue with the upgrade process.

I welcome comments or suggestions to improve on any of this.

PS: As a fun trivia fact, our forum database gets dumped into a specially structured text file containing "SQL" commands that database servers understand. This text file is 57.5 MB!! Take a look at some of the Word documents you've got, and you'll be lucky to see one break 500 KB! Editing a 57 MB text document will cause just about any program (like Notepad) to slow to an absolute crawl. Just scrolling down a couple lines will give you enough time to go get a cup of coffee before the computer finishes the action. That's why it's so vital to catch as many of these problems as possible from THIS end first.

Hopefully it will go smoothly.

I'll do my part by cleaning out my pms and such did it fairly recently so there isn't much at this point and if there is anything else I can do let me know. As for the clan forums, I say send an email to the moderator and make them pick and choose what they want. If they don't even respond then delete them all.

I just did my part, and deleted my PMs and the forum's error logs. All in all, I alone am responsible for shrinking the database by 3.5 megabytes (out of 57 MB!)
